How to Order Bulk ID Cards for Your Organisation — Complete Guide

Ordering ID cards for 200 students or 500 employees sounds complicated — it is not. Here is a practical guide to getting it right the first time, whether you are a school administrator, HR manager, or event organiser.

What Is Variable Data Printing?

Variable data printing (VDP) means each card in a batch has a unique combination of data — typically a different name, employee ID, photo, and sometimes department or class. A school ordering 2,000 student ID cards uses VDP: the card design template is the same for all students (same school logo, same layout, same colour scheme) but every card is individually personalised.

At PrintedCards, variable data printing is included in the standard price — there is no separate per-card personalisation surcharge. You provide the data and photos; we handle the print setup for the entire batch.

What Data Do You Need to Prepare?

Before placing a bulk ID card order, prepare the following: (1) An Excel or CSV file with one row per card, columns for each field on the card — typically Name, Designation or Class, Employee ID or Roll Number, Department, and any other text fields. (2) Individual photos for each card — JPG format, named consistently (e.g., by employee ID or roll number). (3) Your organisation logo — in PNG or vector format at high resolution. (4) Any design preferences — colours, fonts, layout reference, or an existing card design to match.

Our team provides a data template when you place your order so you know exactly what columns and format we need. Most HR systems and school management software can export an Excel file in the right format with minimal preparation.

Choosing the Right Quantity Tier

PrintedCards uses 6-tier bulk pricing. For organisations planning their budget, here are the tier thresholds and approximate use cases: 1–10 cards (individual orders, replacements), 11–50 cards (small teams, single department), 51–100 cards (medium departments, small schools), 101–500 cards (schools, mid-size corporates, hospital departments), 501–1000 cards (large organisations, multi-department batches), 1001–5000 cards (enterprise, entire school or campus).

A common question: should we order extra cards to cover future joiners? Yes — ordering 10–15% more than your current count is a cost-effective approach. The additional cost at bulk pricing is minimal, and having spare cards available for new joiners avoids the expense of a small replacement batch at a higher per-card rate.

Step-by-Step Ordering Process

Step 1: Place your order on PrintedCards.in. Select your card type, enter your quantity, and provide contact information. This takes approximately 2 minutes. Step 2: Our team calls or WhatsApps you within 8 business hours to discuss your requirements, confirm the data format, and share the data template.

Step 3: Prepare and submit your data file and photo folder. Our team reviews the data, organises it for the print layout, and creates a design proof. Step 4: Review the proof carefully — check all names, designations, employee IDs, and the overall design. Approve or request changes. Step 5: Once you approve, payment is confirmed and production begins. Cards are dispatched within 3–5 business days for standard orders (up to 6 days for large variable data batches). Step 6: Cards are delivered to your door. Tracking details are sent by email when your order ships.

Common Questions About Bulk Orders

Can we get different card designs for different departments? Yes — multiple design variants in one consolidated order. Management cards, operations staff cards, and visitor passes can each have distinct designs while being produced and delivered together.

What happens if some employee photos are missing? Our team handles partial-photo batches — we can print the name and other data fields and leave a photo placeholder, or print as many complete cards as possible and ship the remainder once photos are received. We coordinate this during the data review step.

Can we re-order with the same design? Yes — we keep your card design on file. For recurring orders (quarterly new joinee batches, annual renewal), you provide only the updated data file and photos for the new batch. The design cost is zero for re-orders using an existing template.

Delivery and Logistics

PrintedCards delivers to all pin codes in India via trusted courier partners. Standard delivery takes 1–3 days after dispatch to most major cities; 2–5 days to tier-2 cities and towns; 3–7 days to remote locations. Tracking information is provided by email. For schools and corporates with a fixed date requirement (such as the first day of academic year or a new office opening), order at least 10 days in advance to account for data preparation, proof review, production, and delivery.

Delivery is free on orders totalling ₹500 or more. For large bulk orders (100+ cards), the order value almost always exceeds ₹500, so delivery is effectively free.
